AEN and Medical Indicator - Admin Setup

How to manage AEN and Medical indicators on student profiles. This article is intended for Admin. (Read time: 2 minutes).

AEN and Medical indicators 

Previously, if a student had AEN and/or Medical information stored against their profile, it was possible for a teacher to toggle this indicator on/off on the mark attendance screen, and they were grouped together as one. We have made the following changes as of April '24.

a) separated the AEN and Medical indicators

b) added them to more screens so that teachers have greater awareness of student’s needs day to day

c) added permissions to allow admin to control how they’re used school wide.

This guide explains how to manage these permissions. 

 

Enabling AEN and Medical indicators on the student profile, class list and assessment results screens

Admins can now enable new AEN and Medical indicators that teachers will see on the student profile, class list screen and assessment results screens. These indicators alert teachers that there is either AEN or Medical information available for a student without actually displaying the details, it is simply an orange dot for AEN, and a green dot for Medical. In order to view the AEN or Medical information itself, teachers (that have access to AEN and/or Medical) must go to the student’s AEN or Medical tabs.To turn these indicators on for teachers on these pages, follow these steps:


For the AEN indicator:  Settings > Users & Groups > Apply the permission “Allow staff access to Student AEN indicator” to the relevant user group.
For the Medical indicator: Settings > Users & Groups > Apply the permission “Allow staff access to Student Medical indicator” to the relevant user group.

 

Enabling AEN and Medical indicators on the mark attendance screen

Admins can now enable new AEN and Medical indicators that teachers will see on the mark attendance screen. Similar to the screens described above, these indicators alert teachers that there is either AEN or Medical information available for a student without actually displaying the details, it is simply an orange dot for AEN, and a green dot for Medical.To turn these indicators on for teachers on the mark attendance screen, follow these steps:


For the AEN indicator: Settings > Users & Groups > Apply the permission “Toggle AEN on behalf of staff” to the relevant user group.
For the Medical indicator: Settings > Users & Groups > Apply the permission “Toggle Medical on behalf of staff” to the relevant user group.

 

Please note: Teachers can toggle these indicators on and off for their own profile for the mark attendance screen, but if they are enabled school wide, it will reset when they refresh their screen. If you do enable any of these indicators school wide, we would recommend informing all staff so that they are aware of this change.

Resource Classes:

A student's resource class appears side by side with the main class.
