VSware Sign In/Out – Parent InformationWhat Is Sign In/Out?

Sign In/Out is the school’s digital system for recording when students arrive late, leave early, or return during the day.

Every time your child signs in or out, you receive a push notification with the exact time.

Signing In Late

If your child arrives late, they will:

  • Go to the school’s Sign In/Out device (tablet/iPad)
  • Search for their name
  • Tap to sign in

Authorised Late

Your child will be marked authorised if you previously submitted an absent request through VSware and the school approved it.

Unauthorised Late

If no approved request exists, the late will be marked unauthorised.

If your child brings a physical note later, the school can update this to authorised.

Grace Periods

Schools may allow a short grace period around approved times.

Example:

If your child is allowed to sign in at 10:00am and the grace period is 10 minutes, they can sign in up to 10:10am without being marked unauthorised.

The same applies to early sign‑outs. The grace period is unique to the school, so if you have a student in two separate schools their grace periods may be different.

Signing Out Early

Students can only sign out early if they have authorised permission.

This means:

  • A parent submitted an absent request
  • The school approved it

If your child does not have permission, the device will not allow them to sign out.

They must go to reception, where staff can decide whether the sign‑out should be authorised.

Once signed out, the rest of the day is marked as explained absence.

Signing Back In

If your child returns later in the day, they simply sign back in using the same device. This will clear any attendance for future lessons that might have been updated via the absent request.

Parent Notifications

You will automatically receive a push notification every time your child:

  • Signs in late
  • Signs out early
  • Signs back in

This keeps you fully informed throughout the school day.

How the School Manages Sign In/Out

School staff can:

  • View all sign‑ins and sign‑outs
  • Change unauthorised lates to authorised when a note is provided
  • See all approved late arrivals and early sign‑outs
  • Sign students in/out manually if the app is unavailable
