CAT4 / Standardised Assessments – Bulk Upload

This article is intended for Admin users. 

 

This guide explains how to bulk upload CAT4 (and other standardised assessment) results and how to view them once they are stored in the system.


Overview

You can bulk upload standardised assessment results directly into VSware. This removes the need for manual data entry and ensures all results are stored centrally.

Once uploaded:

  • Results appear under a Standardised Assessments tab on each student’s profile

  • Data can be reviewed by class, year group, or individual student

Note: This functionality represents phase one. Future updates will allow standardised assessment data to be included directly in assessment reports for a more complete view of student progress.


Accessing Standardised Assessments

To use this feature, you must be logged in as an Administrator (for example, secretary, principal, or a teacher with assessment permissions).

  1. From the main menu, select Overview

  2. Click Assessments

  3. Choose Standardised Assessments from the left-hand menu

This opens the Standardised Assessments dashboard, where uploads are managed.


Uploading a Standardised Assessment

Step 1: Start a New Upload

  1. Click Upload Assessment

  2. Enter the assessment details:

    • Academic year the assessment took place

    • Assessment name (e.g. CAT4 2024)


Step 2: Download and Complete the Template

  1. In the upload area, click Download Template

  2. Open the downloaded CSV file using Excel or a tool like Google Sheets

Important Template Rules

  • Do not change the first row (column headers such as Student ID, Test Date, etc.)

  • The second row contains guidance explaining what each column requires

  • The third row is an example

  • Before uploading your real data, delete the second and third rows.

  • Enter your student data exactly as required, then save or download the file again as a CSV.


Step 3: Upload the CSV File

  1. Drag and drop the completed CSV file into the upload area (or browse to select it)

  2. The system will automatically check the file for errors

If Errors Are Found

  • Any issues will be clearly listed

  • Correct the errors in the CSV file

  • Re-upload the updated file

Once the file uploads successfully with no errors, click Next.


Step 4: Review and Confirm

  1. Review the assessment details, test date, and uploaded data

  2. If everything is correct, click Upload Assessment

The assessment results are now stored centrally and available for viewing.


Viewing Standardised Assessment Results

From the Standardised Assessments Dashboard

  1. Locate the assessment in the dashboard list

  2. Click the View icon (eye symbol)

  3. Select the relevant year group

  4. Choose View Class Groups, then View Class List

This opens a report showing all students in the selected class with their results clearly displayed.


Viewing Individual Student Results

From the class list:

  1. Click View Results beside a student’s name

  2. A detailed, visual report opens showing:

    • The student’s assessment results

    • Relevant alerts (e.g. AEN or medical notes) for additional context

You can also click View Student Profile to navigate directly to the student’s full profile.


Alternative Route via Student Search

You can also access results directly from a student’s profile:

  1. Search for the student using the main search bar

  2. Select Academics

  3. Choose Standardised Assessments

This displays the same individual report, accessed through a different route.
