Student Care Monitor/Student Alerts

Guide to the Updated Student Care Monitor

The new Student Care Monitor builds on the previous Student Alerts system, making it easier for staff to manage and prioritise important information about students. It consolidates alerts into one system and adds features like priority levels and a secure dashboard widget, helping staff stay informed while protecting student privacy. This update supports the "Lean In, Lean Out" communication system, promoting clear and focused communication to better ensure student safety and wellbeing.

 

Key Features of the Student Care Monitor

Prioritising Alerts

Each alert can now be assigned a priority level to indicate its importance:

  • High (Pink)
  • Medium (Yellow)
  • Low (Green)
  • Neutral (Grey)

The priority level is visible to users and helps staff prioritize actions and focus on critical student needs.

Care Monitor Widget

A new Care Monitor Widget is available on the dashboard. This widget displays all active alerts for students relevant to the user. It features an expandable view to protect confidentiality during screen sharing or in student-facing situations.

The widget includes filters to:

  • View alerts for specific dates (e.g., today's alerts).
  • Search alerts by student name or alert title.

Notification of High-Priority Alerts

When a high-priority alert is created, all staff automatically receive a notification on their mobile device:

"A new high-priority alert has been added for a student. Please log in to read more."

This ensures that critical information is shared promptly with all relevant personnel.


Who Can View and Manage Alerts?

  1. Principals and Secretaries

    • By default, they can view, create, and manage all student alerts.
  2. Teachers

    • Teachers can see alerts for the students they teach.
    • Additional permissions can allow teachers to:
      • Escalate Student Care Monitor alerts.
      • Access all student alerts across the school.
      • Create and manage generic alerts for their own students.

Using the Student Care Monitor

Creating a New Alert

  1. Navigate to the Student Care Monitor:

    • Go to Admin > Notifications > Care Monitor, or select Admin > Care Monitor from the main menu.
  2. Add a New Alert:

    • Click Actions > + Add New Alert.
    • Fill in the required details:
      • Click Create.
    • The alert will now appear as Active if within the specified date range.


    Viewing Student Alerts

    Student Care Monitor alerts can be viewed from several key screens:

    • Dashboard Widget: Active alerts appear in the Care Monitor widget.
    • Student Profile: A bell icon next to a student’s name indicates an active alert:
      • Pink: High Priority
      • Yellow: Medium Priority
      • Green: Low Priority
      • Grey: Neutral
        Hover over the bell icon for a tooltip reminder to access detailed insights in private settings.
    • Mark Attendance Screen, Class List, and Assessment Input Screens: Active alerts are visible to help staff monitor students in real-time.

    Editing or Deleting Alerts

    1. Navigate to Admin > Notifications > Care Monitor.
    2. Find the alert you wish to update.
    3. Click the three dots next to the alert and choose Edit or Delete.

    Granting Permissions for Teachers

    To allow teachers to manage or escalate alerts:

    1. Go to Settings > Users & Groups.
    2. Search for the relevant permission in the search box:
      • Allow teacher access to escalate student care monitor alerts
      • Allow teacher full access to student care monitor alerts
      • Allow teacher to manage and create their own generic student care monitor alerts
    3. Drag and drop the permission into the appropriate teacher group.

    For teachers to access all students' alerts, ensure they also have the permission Allow teacher access to all learner profiles.
