Auto Logout and Two-Factor Authentication (read time 2 minutes)

Enhance security by adding extra layers of protection to VSware user accounts.

Click Admin > Authentication > Security 

Under 'Account Security Settings', there are two optional security controls for your school's VSware user accounts. This can be managed by Secretary and Principal users. 

1. Two-Factor Authentication (2FA)

Two-Factor Authentication (2FA) adds extra security by requiring an SMS code alongside your VSware password. Schools can choose to enable this for specific user groups: Principals, Secretaries, Teachers, Contacts and/or Learners.

How it works for a user that has 2FA enabled: 

When logging in to their school's VSware account, users must first enter their login details. They will then receive a one-time SMS code to their registered mobile number, which they must enter to access their account.

Key Details:

  • 2FA is required every 30 days, or when logging in from a new device.
  • All users, including students (learners) must have a mobile number saved on their profile to receive a code. A ‘2 Factor Auth’ report in Admin > Authentication > 2FA report, lists all users that are missing a mobile number. 
Note: We have relocated Two-Factor Authentication (2FA). It waspreviously in Settings > System Settings and Settings > Two Factor Auth. It now sits under Admin > Authentication > Security.

2.  Auto Logout

To enhance security, we’ve introduced an Auto Logout feature that allows you to set a time limit for teachers, secretaries, and principals to remain logged into their VSware accounts. This can help in situations where a staff member leaves their device unattended for a period of time for example. 

This is an optional feature and schools can decide what the exact time limit is for each user group. 

When enabled, and when the time limit has been reached, users will see a message on the screen asking if they want to stay logged in, or if they wish to log out. If they don’t respond within 30 seconds, they will be automatically logged out of the system. If they choose to stay logged in, the timer will reset.

Important note on security

VSware’s Auto Logout feature logs users out after a set period of inactivity. However, it may occasionally fail due to connectivity or browser issues, and does not prevent someone with physical access from extending the session.

For added security, always log out manually, use strong device passwords, and ensure your device is secured when not in use.
